Odoo and AI

What AI does usefully inside an ERP today, what Odoo already includes, and how we apply it to real processes without overselling it.

AI in ERP is easy to talk about and harder to apply. Most of the value comes from a small number of specific tasks where a model is better or faster than a person at reading, classifying or drafting, and where a mistake is cheap to catch. This page sets out where we see that value in Odoo and how we approach it.

What Odoo already includes

Odoo has offered digitisation of vendor bills and expense receipts for several versions: a scanned document is read and the fields are proposed for a person to confirm. The editor used in emails, quotations and the website builder can generate and rewrite text. Lead enrichment fetches company information for CRM records. Each release adds further features of this kind, and we confirm what is available in your version rather than assuming.

These features are paid services in most cases, billed through Odoo's in app purchase credits, and they work best when the underlying data is clean.

Where we apply AI in projects

  • Document intake. Reading supplier invoices, delivery notes and purchase orders that arrive as PDFs and creating draft records for review. This removes typing and speeds up the accounts payable process, while a person still approves each document.
  • Classification and routing. Assigning incoming emails, tickets or leads to the right team, product line or priority based on their content.
  • Drafting. Producing first drafts of quotation descriptions, product texts, follow up emails and support replies from the data on the record, for a person to edit and send.
  • Matching. Suggesting matches between bank transactions and invoices, or between incoming orders and existing customers, where the standard rules do not find a clean match.
  • Forecasting. Demand and cash forecasts built from Odoo data, presented as inputs to planning rather than as decisions.

How we build it

AI features are built with the same rules as any other automation. The process comes first: we map where the work is and where errors are costly. The model proposes and a person confirms wherever the result affects money, stock or a customer. Every action is logged, so you can see what the model suggested and what the person decided. Data leaving your system is limited to what the task needs, and the provider and the contract are agreed with you before anything is connected.

What we do not recommend

We do not recommend letting a model post journal entries, approve payments, change prices or send customer communication without review. We do not recommend adopting an AI feature because it is new. If a rule based automation does the job, it is cheaper, faster and easier to audit, and we will suggest it instead.

Starting point

If you are curious about AI in your Odoo system, the useful first step is a short review of where people spend time reading and re typing. That is where the return is. A first conversation about it costs nothing.

Frequently asked questions

What can be automated in Odoo without custom code?

A great deal. Automated and scheduled actions, reordering rules, invoicing policies, email templates, approval rules, bank synchronisation and the standard connectors for payments, shipping and marketplaces cover most of what businesses ask for. We use these first and build custom integrations only where they stop.

How do you connect Odoo to our web shop or marketplace?

Through a standard connector where one exists for your platform, through a maintained community module where that is the better fit, or through a custom integration built on Odoo's API. We assess each option on coverage of your specific requirements and on the cost of keeping it working through upgrades.

What happens when an integration fails?

Every integration we build logs each run, alerts a named person on failure and has a written recovery procedure. Under our managed service we monitor integrations and act on alerts before your team notices a stuck order.

Can you automate our approvals?

Yes. Purchase approvals, expense approvals, discount approvals and journal entry approvals can be configured with thresholds and roles. For approvals outside the standard apps, the Approvals app in Enterprise or an automated action usually covers the need.

Is everything worth automating?

No. Decisions that need judgement, exceptions that occur a few times a year and processes that are about to change are usually better left to people with a good checklist. We say so when that is the case.
